CONFERENCE ROOM

Rental Policy

DBSC has a conference room available for use by any agency subject to DBSC administrative approval.

Facility

The conference room is 36'6" x 24'6". The room has a 75 person maximum capacity. There is a kitchen with a refrigerator and counter space. There is no elevator in the building, yet the building is accessible by ramp outside and inside to the second floor. There is a chairlift from the first to second floor and an accessible restroom right next to the DBSC office and conference room.

Reservation Procedure

All reservations must be made and approved by DBSC administration at least ten (10) business days prior to the event date. Contact DBSC with the following information:

  • Contact name and address of person or organization requesting use of the room
  • Phone number and email of primary contact person
  • Date and time needed, including set-up and clean-up time

PLEASE:

  • Users must arrive and depart in a timely manner.
  • Representatives for the borrowing organization must read and fill out the Conference Room Use Agreement and sign the DBSC Room Agreement and DBSC Conference Room Checklist forms.
  • The borrowing organization is responsible for bringing their own food and supplies.

Cost

The conference room cost is:

  • Monday through Friday, 9:00 am - 4:00 pm at $10.00/hour
  • Monday through Friday 4:00 pm - 9:00 pm at $20.00/hour

A $25.00 deposit to reserve the room is required at least 7 days prior to room rental. We can only reserve the room up to 3 months in advance. If the room is left in the original clean and undamaged condition, the $25.00 deposit will be returned or applied to the cost of the room rental.

Availablity

DBSC’s conference room is available:

  • Monday through Friday from 9:00 am to 4:00 pm
  • The cost of the room rental is $10.00 per hour

DBSC's conference room may also be available:

  • Monday through Friday from 4:00 pm to 9:00 pm.
    In addition to the $10.00 per hour rental fee, there will be an additional building attendant fee of $10.00 an hour, making the after hour rental fee $20.00 per hour.
  • Weekends by Executive Director's approval only

Cancellation Policy

Cancellations must be made within 72 hours prior to the reserved date. If a cancellation is requested with less than 72 hours notice, your deposit will not be returned.

Set-Up & Clean-Up Procedure

All persons/organizations using the facility must leave it in the original clean and undamaged condition, including all equipment and kitchen supplies (dishes cleaned, dried, and returned to their original location, etc) Groups are responsible for providing their own supplies, including coffee, water, sugar, napkins, plates, and silverware.

  • Only use tape on walls that is easily removable.
  • Groups are responsible for taking out their garbage and depositing it in the dumpster in front of the building when leaving.
  • Make sure all of the windows are closed. Turn off air conditioners and other appliances.

Building Rules

  • There will be a designated person(s) responsible for opening and closing the building, and room set-up and monitoring of the event. The designee(s) must be designated at the time the reservation is made.
  • NO SMOKING IN THE BUILDING. Smoking is permitted on the sidewalk only 25 feet away from the front door. Illegal drugs are not permitted.
  • ALCOHOL IS NOT PERMITTED.
  • Users will be responsible for damage that exceeds reasonable use as determined by the DBSC Executive Director.
  • DBSC shall not be held liable for damages or accidents and infractions, which occur pursuant of applicant's use of facility. DBSC shall not provide, nor be responsible, for security of the event or meeting held within the facility or on the grounds.
  • If person(s) want to leave equipment for a day or over the weekend, DBSC will not be responsible for lost or stolen property.
  • No one is allowed to use DBSC's office computers, copy machine, supplies, or phones. Persons or organizations are responsible for making plans in advance before coming to the event.
  • We reserve the right to refuse service to any group, organization, or individual. Use of this facility is a privilege.
